We are seeking a detail-oriented and creative Document Control & UX Coordinator that is responsible for owning and continuously improving the company’s manufacturing documentation website that houses SOPs, Work Instructions (WI), and training materials organized by manufacturing process rather than functional departments.
This position requires a "design-first" mindset to ensures that the site is intuitive, visually clear, accurate, and up to date, while establishing strong governance by assigning and managing document owners across manufacturing processes.
ESSENTIAL DUTIES & RESPONSIBILITIES
1. Manage the company’s manufacturing document website and maintain overall site organization.
2. Organize documents by manufacturing process rather than functional department.
3. Upload and maintain SOPs, work instructions, training materials, forms, visual aids, and other manufacturing documentation.
4. Improve the user experience of the site, including layout, navigation, searchability, naming conventions, and graphic presentation.
5. Identify opportunities to improve site design and visual consistency.
6. Work with process owners, supervisors, engineers, and department leaders to collect missing materials.
7. Ensure all required documents are loaded to the site in a timely manner.
8. Assign document owners responsible for maintaining and updating materials.
9. Track document revision dates and follow up with owners to ensure outdated materials are reviewed and updated.
10. Maintain document control standards, including version history and archival of obsolete documents.
11. Monitor site usage and collect feedback from users to improve accessibility and effectiveness.
12. Support training teams by ensuring employees can easily locate current materials.
13. Coordinate with IT or web support teams on technical issues, access permissions, and system improvements.
QUALIFICATIONS
1. Education:
Bachelor’s degree in business administration, Communications, Industrial Engineering, Manufacturing, Information Management, or a related field preferred
2. Required Qualifications:
· Experience managing documentation systems, knowledge bases, or intranet sites, preferably in a manufacturing or industrial environment.
· Strong understanding of manufacturing processes, SOPs, and work instructions.
· Experience with content organization, version control, and ownership governance.
· Excellent communication skills to work across functions and levels, detail-oriented with strong UX mindset.
3. Preferred Qualifications:
· Familiarity with Lean, CI, Quality, or ISO-style documentation practices.
· Basic graphic design or layout experience (or strong ability to work with designers).
